While there are many advanced metrics that can be used to get more insights into the workforce, tracking the basic demographics and headcount based on these demographics can tell you a lot about the state of the organization.
Knowing the distribution of the workforce across parameters like gender, age, experience, tenure and more will help you frame policies for the organization that are congruent to the preferences of your employees.
Keka HR Portal's analytics suite offers you the features that will give you enough information regarding the demographic details of your organization. You can filter this information and view this based on parameters like department, location, business unit and more.

Why is demographic information important?
Demographic information is important for a lot of different reasons. Here are some top ones why organizations have always relied on demographic information.
- Gives you a better understanding of the pulse of the workforce and helps tailor policies and systems to keep them motivated and engaged
- Understand and improve diversity in the organization. Diversity encourages different viewpoints that help the organization make better and more inclusive decisions.
- Getting an idea of the distribution of employees based on their tenure also helps you understand how you are doing with respect to your engagement and retention policies as well as in striking a good balance between experience and fresh ideas.
It is important to track these numbers for many reasons other than the ones listed above. Let us now dive in and see how you can view demographic information regarding your workforce.
How to view Demographic Analytics
To view these analytics, go to the Org tab (1) on the left navigation pane. You will be taken to the Dashboard (2) section of the page. Select the Analytics tab (3) here. The demographic information can be found on the Headcount by Demographics tab (4) here.
There are a lot of different charts here that tells you important demographic information. You can choose to view this information for the whole organization or for specific departments or locations. You can select this using the drop-downs at the top of the page.
Filtering Demographics
If you wish to view the demographic information for specific Business Units, Departments, and locations, you can utilize filters. Simply click on the relevant drop-down and make your selection. You can also select a Date Range.
If you want to view the demographic information for your sales department only or if you want to see this for just one of your locations, click on the relevant drop-down and make the selection.
The first chart on the page deals with one of the most basic distributions - by gender of employees. You can see a breakup of the number of people corresponding to each gender. You can also see a similar chart by employment type which tells you what percentage of employees in your organization are full-time employees and what percentage are part-time employees.
The last chart in the first row deals with the distribution of workforce based on the worker type. You can have permanent and contingent staff on rolls and this chart gives you the distribution of these workers.
Demographics by Age
Some of the other graphs on the screen relate to the age of the employees and their tenure in the organization. You can view this information in the graphs titled Age of Employees (in Years) and Years in Organization. Hovering with your mouse over any of the bars in the graph will show you detailed information regarding the same including a gender-wise breakup of the employees in a particular age group.
Also, there is an option to view and download the raw data, providing in-depth and detailed information for further analysis.
You can export these graphs in PNG, PDF or Excel formats by clicking on the export icons on these graphs.
The graphs also contains important information including the overall average age and that of men and women separately. The Years in the Organization gives information about the maximum and minimum experience of the people in the organization and also shows the average experience.

Demographics by Gender
Go to the Distribution by Gender, Employment Type and Worker Type section of the page. There are 3 graphs here to give you more information. The first is the distribution of the workforce by gender across departments, business units, locations, cost centres, and job titles. You can select a particular department and see the gender distribution in that department.
You can switch between the parameters using the toggles at the top of the graph.
Headcount by Employment Type Across Departments
The next graph in this section deals with the headcount by employment type across departments. In your Keka HR Portal, you can add both your permanent and part-time employees. This graph will show you the distribution between full time and part-time employees in the organization. You can view this across all departments, locations, business units, job titles, and cost center. You can also filter this down to individual departments and see more specific information. Additionally, there is an option to view and download the raw data, providing in-depth and detailed information for further analysis.
Worker Type
The last graph in this section deals with the worker type. Typically, organizations will have a number of permanent employees and then a set of contingent staff who will be on the rolls for a specific period such as contractors or interns. You can keep track of the distribution of permanent and contingent staff in any department, across all departments, and other aspects like business units, location, job title and cost center. Also, there is an option to view and download the raw data, providing in-depth and detailed information for further analysis.
Downloading Analytics
You can download any of these graphs in the form of PNG, PDF or Excel as per your need. Click on the icon on any graph to download it as a png or a pdf.
