We are thrilled to introduce Approval Workflows for project and opportunity creation in Keka! This new feature empowers organizations to maintain control, governance, and consistency by ensuring that only authorized personnel can create new projects and opportunities.
Approval flows streamline workflows, enhance accountability, and improve governance, creating a structured approach to project and opportunity initiation.

Key Components of Approval Flows
1. Setting Up Approval Chains
To activate approval workflows:

Navigate to Settings:
Go to Policies and Settings, then select Approval Chain. Choose either Project or Opportunity. -
Enable Approvals:
Check the box for:- "Does the Project creation require approval" or
- "Does the Opportunity creation require approval."

Configure Approvers:
Define the approval chain by specifying approvers based on roles or individual names. -
Set Auto-Approval (Optional):
Enable Auto-Approval to automatically approve requests if no action is taken within a specified time frame.
Upon completing these steps, the approval chain for Project or Opportunity creation will be set up.
2. Initiating Project or Opportunity Creation Requests
Once the approval flow is enabled:
- When a user initiates a new project or opportunity, the system will automatically generate an approval request if required.
- Navigate to the Projects or Opportunity section and select the option to create a new project/opportunity.
This ensures that no project or opportunity bypasses the approval process.
3. Taking Action on Requests
Viewing Pending Requests
- Navigate to the Projects List within the Projects section.
- Go to the Pending Requests tab to view and manage approval requests.
For opportunities, follow a similar path.
Approving or Rejecting Requests
- Review pending requests based on their details.
- Take appropriate action: Approve or Reject the request.
Tracking Request Status
Monitor the status of all requests. The system provides clear visibility with statuses like:
- Pending
- Partially Approved
- Approved
