Setting up salary payment automation

This feature is in Beta and available only for select customers

We are excited to bring to you the feature that allows you to automate your salary disbursal and compliances, making your payments easier and more efficient than ever! No more downloading bank transfer statements and the hassle of uploading it on bank websites to pay salaries. Now, with a few clicks you can automate the entire flow of salary payments to your employees directly from Keka. 

Let us take a look at the steps to setup this new feature!

In the Payroll section, under Run Payroll, you will now see a new banner/card in purple prompting you to Initiate Setup of the automated salary disbursal and compliance feature.

Click on Initiate Setup.


Getting Started

You will be redirected to Payment Automation tab where you can click on Enable automation to being the setup

Once you have gone through the terms and conditions, check the box I agree  and click on Continue setup to move to the next step. 

Complete KYC Verification

After clicking continue setup you have to upload required KYC documents.

    Example: If you're a private limited business, then documents required will be -

    • Certificate of Incorporation
    • Memorandum of Association
    • Articles of Association
    • Company PAN Card
    • Current account statement with IFSC Code on it for past 3 months or cancelled cheque
    • Authorised Signatory PAN Card
    • Authorised Signatory's Government approved identity proof like Aadhar card or Voter Card or DL or Passport
    • GST Certificate

    Once the relevant documents are uploaded by you, you can either save your current progress by clicking on Save as Draft or you can Send for Verification.

    After the documents are sent for verification. The KYC verification process typically takes up to 48 hours.

    Once the KYC verification process is finished, a disbursal account (1) will be set up, and you can access the account details in the Salary payment section. Simply click on the copy icon (2) to quickly copy the account information.

    Your disbursal account is your fund account with Keka which will be used to make direct payments for salaries. To initiate any payment you need to deposit the required funds in your disbursal account 1 day prior to payment. Once the balance is updated after deposit, then you can go ahead and initiate direct payments from Keka.

    To ensure that payments are properly reviewed and approved before processing, you can also establish an approval chain. This can involve adding multiple levels of approvers to oversee the process. To set this up, simply click on the three dots located in the salary payment section and select the option to Update settings.

    Click Confirm after you have set up the approval chain.

    Payments are processed only after all the approvers in the approval chain have taken action on the request.

    Editing or updating payment automation settings.


    To make any edits or updates to your configured at a later point in time, you can go to the Payroll (1) section, then go to Settings (2), then click on Payment Automation (3). Here if you click on update settings (4)  you can enable or disable payment automation or change approval chain.

    In KYC documents sections you can access and download the documents you previously uploaded.
