What's New?
These exciting updates address key pain points and provide greater control over resource allocation:
1. More Accurate Allocated Hours:
- Previously, allocated hours on the Resource Planner and Utilization page included weekends, holidays, and leaves.
- We've addressed this! Now, you can select weekly offs for each resource within a project.
- The system will automatically exclude these off days for a more accurate calculation of allocated hours and resource utilization.
- To access the Week-Off section, navigate to the Project menu, then select Policies & Settings. Under the Allocation category in Resource Management, you will find the Week-Off settings listed as Capacity Settings.
2. Flexible Allocation Percentages:
- You can now allocate resources to projects with any percentage you desire!
- By default, Keka suggests options like 5%, 10%, 20%, etc. But for more granular control, simply type in your desired percentage and save.
3. Enhanced Resource Planner:
- The Resource Planner now displays:
- Start and End Dates of Allocation
- Allocation Percentage
- Allocated Hours
- Number of Allocated Days
- Additionally, the allocation bar width dynamically shrinks based on the allocation percentage (e.g., 50% allocation will have a half-width bar compared to 100%).
4. Informative Tooltips:
- Click on an allocation bar on the Resource Planner to reveal a helpful tooltip.
- It displays:
- Allocation Percentage
- Allocated Hours and Days
- Project
- Allocation Start and End Dates
**Enhanced Precision in Resource Allocation**
Keka PSA's Resource Management feature has undergone significant updates, allowing for greater flexibility in assigning team members to projects.
Previously, you could only allocate employee time in fixed increments of 25%, 50%, 75%, or 100%. Now, you have the autonomy to select any allocation percentage between 0% and 100%, enabling you to customize allocations to meet the unique demands of your projects.
You can set these allocations in two convenient ways: either by choosing from a dropdown menu of suggested percentages or by typing in your desired value manually. This means if you need to allocate a team member at 66% or even 25%, you can easily do so. This newfound flexibility is particularly beneficial for managing team members with specialized skills or those in senior roles, allowing for a more tailored approach to resource management.
You can adjust these settings in two different ways:
Method 1:
Access the Project section by clicking on Project (1) in the left navigation pane, then select the Projects tab (2). Make sure you are viewing the Project List (3) tab on this page.
On this page, you will find a comprehensive list of projects that have been added to your portal. To add resources to a specific project, simply locate and click on the project you wish to manage, which will take you to its detailed page.
On the Team tab, navigate to the Active Allocation section, and click on the +Add Resource button to include a new resource for your project.
You can easily add resources to your projects on the Add Resource page. Begin by searching for the employee you wish to include, and select them from the list. Next, set the employee's allocation by clicking on Set Allocation.
Make sure to specify both a start and end date for the allocation. In the allocation percentage section, you will find an expanded set of options to choose from. Once you've made your selections, click Done to finalize the allocation.
Method 2:
You can alternatively oversee resource allocations by navigating to the Resource tab within the Project section and utilizing the Resource Planner tool.
Select the resource you wish to allocate, then click on "Allocate Project." This action will open a new window for you to proceed with the allocation.
In this window, you can assign a project to the selected resource and configure the allocation in the same manner as described in Method 1.
With this, you are well-equipped to manage resource allocations efficiently within your organization.
