My Meetings: Personalized Employee Preparation and Tracking

The My Meetings feature enables employees to effectively manage and prepare for their scheduled 1:1 meetings. This section provides an organized view of upcoming and past meetings, along with tools to enhance preparation and follow-up:

  • Meeting Overview: Access all scheduled and past 1:1 meetings in a single view for easy reference.
  • Preparation Tools: Review agenda items, gather feedback, and plan your discussion topics to make the most of each meeting.
  • Tracking Action Items: Keep a clear record of tasks assigned during previous meetings, ensuring consistent follow-up and accountability.

How to Access and Use the My Meetings Section:

  1. Navigate to the 1:1 Meetings (2) tab under Performance (1) Tab. Click on My Meetings (3) to view your scheduled discussions.

2. Once you click on My Meetings tab, you filter can filter out meetings based on categories such as Upcoming Meetings, Pending Meetings, and Completed Meetings. You can also use the date range filter to view all meetings assigned to them within a specific timeframe.

3. You can also access all instances of a recurring meeting from a single view, allowing them to easily search through agendas, summaries, and action items across all sessions in one place.

4. To enhance your meeting preparation, simply click on the +Add Agenda button to incorporate the meeting agenda. Additionally, you can select the +Add Action Item button to record any action items discussed. At the bottom of the section, you will find a space to write a summary of the meeting; once you've completed your summary, click on the Add button to save your notesUntitled design (8)-3

Team Meetings: Feature for Managers to Engage with Their Teams

The Team Meetings feature helps managers plan and conduct effective 1:1s with their direct reports. This section streamlines the process, making it easier for managers to engage with their teams, track progress, and tailor meetings based on individual needs:

  • Scheduling Flexibility: Set up recurring or one-time 1:1 meetings with employees based on their availability and project requirements.

  • Customizable Agendas: Tailor the meeting agenda to align with the employee’s current projects, goals, and feedback points, ensuring relevant discussions.

  • Progress Tracking and Follow-Up: Use meeting logs to keep track of ongoing issues, follow up on previous action items, and ensure that important topics are revisited.

Steps to Utilize the Team Meetings Section:

  1. Go to Team Meetings under the 1:1 Meetings module.
  2. View all upcoming, pending, and completed meetings. Managers can filter by department to access detailed meeting data for both direct and indirect reports. This streamlined view also enables them to select team members and conveniently schedule new meetings as required.

3. Click on View Details next to an employee’s name to access their meeting history. 

4. In the Pending Meetings section, you can reschedule, cancel, or mark meetings as complete. Additionally, you can click on the "Mark as Complete" option, which will prompt a pop-up where you can confirm your selection by clicking "Complete."

5. You can also click on Setup Meeting to set a meeting with the particular employee.

6. When you select the Setup Meeting option, you will be directed to the scheduling interface for a 1:1 Meeting. Here, you can create a tailored agenda and share it with the employee ahead of time to facilitate a more productive discussion, and then click on Schedule Meeting.

New Action Items Tab: An Organizational Overview

The Action Items tab provides a holistic view of tasks across the organization:

  • For Employees: Enables monitoring of personal tasks and follow-ups.
  • For Managers: Provides an overview of team progress, including details of meetings and action items for each team member.
  • For Admins: Presents a comprehensive view of all action items, highlighting overdue tasks for timely intervention.

Agenda Templates in 1:1 Meetings

The Agenda Templates tab in the 1:1 Meetings module helps users streamline meeting preparation and execution by providing a structured framework. Users can create, manage, and customize templates while scheduling meetings, ensuring a consistent and efficient approach.

1. Navigate to the Agenda Template tab to access all available templates.
2. Select the template you want to edit and click on Edit Template.

  • Modify the template's name, type, and agenda as needed. Click on the Update Template button to save your changes.

3. To create a new template, simply select the "Create Template" option.

4. Update the Template Name, select the type, and add the agenda before clicking on the Create Template button to finalize your new template.


    Comprehensive Meeting Logs for Better Insights

    The Meeting Logs feature provides detailed records of past 1:1 meetings. Managers and admins can filter logs by department, status, or date range, enabling quick audits and efficient tracking of discussion points.
