Understanding the performance of a project at any given moment is crucial. Projects can be intricate, involving numerous resources and tasks. To effectively assess project health, multiple parameters need to be considered.
One of the primary factors is the timeline, as timely completion is essential. Additionally, project health can be evaluated through various metrics, including adherence to the allocated budget and the performance of the resources assigned to the project.
Keka PSA enables you to monitor the health of each project consistently based on predefined parameters. Project managers receive reminders to regularly update the project health status. You have the flexibility to establish the parameters for measuring project health, along with supplementary questions that can provide deeper insights to enhance project outcomes.
To access and modify the project health parameters, navigate to the Project section (1) in the left-hand navigation pane. From there, select the Policies & Settings tab (2), and proceed to the Project Health tab (3).
In this section, you will find the pre-set project health parameters alongside the status questions designed to facilitate the project health assessment.
**Adding and Managing Health Parameters**
You have the capability to introduce new health parameters, as well as enable, disable, or modify the existing ones.
To create a new project health parameter, simply click on the +Add Health Parameter button.
On the Add Project Health Parameter screen, input the desired name for your parameter in the Health Parameter field. The system will automatically generate a unique code to identify this parameter. You also have the option to provide a Description for further clarification about the parameter's purpose. Once you have filled in all the necessary information, click the Add button to save your new parameter.
The newly created parameter will be added to the list of project health parameters. You can conveniently enable or disable any parameter using the toggle button located in the status column. Please note that if a parameter is disabled, it will not appear on the project health update forms.
You can modify or remove the name and description of any parameter you have created by using the Edit or Delete icons located in the Actions column.
**Adding and Managing Status Questions**
Status questions are essential for gathering additional insights about the project. They can address various aspects, such as identifying areas for improvement, strategies to enhance financial and operational efficiency, and evaluating resource performance, among others.
Some status questions come pre-defined. You have the option to include these in your assessment or disable them as needed; however, these pre-defined questions cannot be modified.
If you wish to expand the list of questions, you can easily add your own. To do this, simply click on the +Add Question hyperlink.
In the provided field, type your question and then click the Add icon located in the Actions column to include it in your list of status questions.
You can easily toggle the status of a question on or off using the buttons in the Status column. Additionally, you have the option to modify or remove any question by utilizing the Edit and Delete icons found in the Actions column.
**Managing Reminder Email Frequency**
Project managers receive periodic reminders to update the project health status. You have the ability to customize the frequency of these reminders to suit your needs. To view the current reminder frequency, navigate to the section labeled Frequency of Reminder Email. If you wish to make changes, simply click on the Edit icon, and you can adjust the frequency as desired.
In the Frequency of Reminder Email window, choose your preferred reminder frequency. If you wish, you can also opt to disable the reminder emails entirely. Once you have made your selections, click Update to apply and save your changes.
**Previewing the Project Health Update Form**
To ensure project managers are well-prepared when updating project health, you can preview the project health update form they will encounter. Simply click on the Preview button to view a quick demonstration of the form layout and content, allowing you to confirm that all necessary information is clearly presented.
You can easily access a quick preview of the form in the Project Health Update window to familiarize yourself with its layout and details.
