Managing Preboarding Page

The Preboarding page on the Keka HR platform is a vital component of the onboarding process for you, offering a streamlined and efficient way to manage job offers within your organization. This guide will provide a detailed walkthrough of the Preboarding page, including its various features and functionalities, to help you optimize the use of the system.

Accessing the Preboarding Page

 

To begin, navigate to the Org section in the main menu and select ‘Onboarding’ then click on the 'Offers' tab. This will take you to the Offers dashboard where you can view and manage all job offers. 

 

Understanding the Preboarding Dashboard

 

 

The Preboarding dashboard presents a comprehensive list of all candidates who have been selected to join the organization. Here are the main elements of the dashboard: 

 

  • Filtering Options(1): At the top of the page, you can filter offers by Job Title, Department, Location, Stage, and Offer Type to narrow down your view to the relevant offers. 
  • Offers Stage(2): This is the central feature of the Offers page. It displays each candidate's name, the stage of their offer (e.g., Offer Released, In Progress), department, location, joining date, and any pending tasks associated with their onboarding. 
  • Tasks Pending(3): This column shows if there are any tasks that need to be completed for each candidate, such as document submission or background verification. 
  • Actions(4): Next to each candidate’s details, you will find an 'Actions' column. This provides quick access to various functions such as 'Remind Candidate,' which sends a prompt to the candidate to take necessary actions, or 'Create Offer,' which starts the offer creation process for a candidate. 
  • Archiving(5): Offers that are no longer active can be archived to keep the dashboard focused on current prospects. 
 

                           

 

Managing Individual Offers

 

When you click on a actions button corresponding to the candidate’s name. Here’s what you can do: 

 

  • Revise offer(1): Check and edit the details of the job offer, such as the role, compensation package, and start date. 
  • Send Reminders(2): If a candidate has not responded to an offer, use the 'Remind Candidate' feature to prompt action. 
  • Change Tasks(3): Assign or edit tasks that need to be completed for the candidate’s onboarding. 
  • Revoke offer(4): Update the stage of the offer as it progresses, from 'In Progress' to 'Offer Accepted,' or 'Revoked' if the offer is no longer valid. 
  • Add as an employee(5): In some cases where you will need the employee to join the organization directly, you can use this option. 
  • Release offer(6): You can also release the offer, in case there is any delay while approving the offer.
  • Archive Candidate(7): You can archive the candidate using this option.
