The "Visibility" settings in performance management tools are critical to defining who can view the reviews provided by reviewers about employees.
What is Visibility?
The visibility configuration allows administrators to control access to review forms and submissions during and after the performance review process. Administrators can customize visibility based on organizational roles such as self, reporting manager, department head, and other stakeholders.
This ensures that employees and managers have the necessary access to reviews, fostering transparency and accountability. Let us take a look at how we can update the visibility of the review form:
Visibility Settings Overview
Navigate to the Performance (1) tab, and click on Reviews (2) tab. Now select the relevant Review Cycles (3) that you wish to make changes in, then under the Review Cycle click on View Progress (4).
Next, click on Visibility under the Advanced Setup tab. When setting up review visibility, administrators can choose between two main options:
- Only Managers: Restricts review visibility to specific managers.
- Custom Visibility: Enables a granular configuration for each role.
Configuring Custom Visibility
With custom visibility, you can define which roles can view the review forms. Below are the configurable options:
1. Self
- While Filling: Employees can view the reviews of reporting manager.
To enable this:
- Toggle the Self option ON.
- Assign "Reporting Manager" to the field labeled " Can View Reviews of."
- After Filling: Employees can access their reviews once the cycle is completed.
To enable this:
- Toggle the Self option ON.
- Click on "Configure what self can view after publishing the review" option.
2. Reporting Manager
- While Filling: Reporting managers can access reviews submitted by their team members.
Steps:
- Toggle the Reporting Manager option ON.
- Assign "Self" under "Can view reviews of."
- After Filling: They can view the final reviews of their team.

- Toggle the Reporting Manager option ON.
- Assign "Self" under "Can view reviews of."
3. Manager of Manager
- After Filling: They can see completed reviews of their reporting manager's team.
Steps:
- Toggle the Manager of Manager option ON.
- Assign "Self" and "Reporting Manager" under "Can view reviews of."
4. Department Head
- After Filling: They can view all reviews relevant to their department.
Steps:
- Toggle the Department Head option ON.
- Assign "Self" and "Reporting Manager" under "Can view reviews of."
5. Business Unit Head
- Similar to the department head, but at a broader organizational level.

- Assign relevant roles under "Can view reviews of" for expanded visibility.
6. Dotted Line Manager
- Toggle the Dotted Line Manager option ON
- Can view reviews of individuals reporting to them indirectly.
- Assign "Self" and "Reporting Manager" under "Can view reviews of."
Optional Configurations
- Anonymous Sharing: You can enable anonymous sharing for specific roles to hide the identity of reviewers.
- Role-Specific Access: Add or remove roles dynamically based on the organizational hierarchy.
Saving Your Configuration
After completing your visibility settings:
- Click Save as Draft to save changes without publishing.
- Choose Complete Setup to finalize the review cycle.
By customizing visibility, organizations can streamline their review processes, ensure transparency, and maintain clarity on review access permissions.
