How to manage and release pay slips

A payslip, also called a salary slip, is a monthly document given by an employer to their employees that outlines the employee's earnings and deductions for a specific time period. It's legally required for employers to provide payslips as evidence of salary payments made. In Keka, payslips can only be issued to employees after finalizing the payroll for that particular month. This allows employees to view their monthly earnings, contributions, deductions, and net salary. 


Here's how you can manage payslips on Keka.


Navigate to the following location on the Keka portal:


Payroll (1) >> Run Payroll (2).


Select the relevant Pay Group (3) if you have more than one set up on the portal.  

Select the month (4) for which the Payroll has been finalized and you want to release the pay slips. 


Scroll down to find the Payroll Outcome (5) section and click on Manage Payslip (6)



Here you have a few options which you can use to manage Payslips. You can choose a particular Business Unit, Department, or location from the dropdown.  You also get to choose a single employee or a group of employees. 


You also get multiple options when you select employees. You can release payslips, you can hold back the payslips, you can send payslips via email or you can also generate and download the payslip yourself. 


To release payslips, select the group of employees you want to select and click on Release Payslips.



This will only release the payslips on the Keka portal.

You can also send payslips to these employees via mail by selecting the employees and clicking on Send Payslips by email. 

To hold back the payslip for an employee or a group, select the relevant employee(s) and click on Hold Back Payroll. These employees will not be able to see the payroll on their Keka Portal if this option is selected. 

Finally, you can download the payslips for one or more employees from the portal. Select the employees you want to do this for and click on Generate. This will download the payslips onto your system.

An employee whose payslip has been released can view it by going to My Finances (1), then to My Pay (2), and opening the Pay Slips (3) tab.

Here they can see all the payslips which have been released to them.
