The new PSA and leave integration feature provides numerous advantages. It streamlines processes by automating timesheet audits and payroll processing, significantly reducing the need for manual intervention. This automation facilitates prompt invoice generation and payroll execution, thereby decreasing the likelihood of errors related to timesheet submissions and compliance with work hour regulations. Furthermore, it reinforces adherence to organizational timesheet policies, ultimately improving overall compliance.
Activating the Feature
To enable this feature, first ensure that you are logged in as a project administrator or a user with the necessary permissions.
To activate this feature, log in as a project administrator or a user with the required permissions. Then, follow these steps: From the left navigation bar, select Project (1), click on Finances (2), and finally, navigate to Timesheets (4) under the Settings (3) tab.
Once you are in the settings menu, find and select the Timesheet tab. Here, you must toggle the option labeled "Use timesheet data for payroll processing" (5). This step is essential for the feature to function correctly. After enabling this option, the feature will be available at the timesheet policy level.
Configuring Timesheet Policies
Next, you will need to configure the timesheet policies. Navigate to Project (1) from left navigation bar then click on Policies & Settings (2) then go to the Timesheet policies (3), then click the edit icon next to the policy you wish to modify.
The configuration options are divided into two main categories: Hour Settings and Submission Settings.
Within the Hour Settings category, you can specify the required daily and weekly work hours. This includes the ability to establish effective or gross hours, which are derived from the leave and attendance module.
You can also establish buffer periods during which no penalties will be imposed for insufficient work hours. The penalization settings enable the automation of penalties for employees who do not meet the specified work hour requirements.
In the Submission Settings section, you have the ability to establish requirements for daily or weekly time entry submissions.
You can enable timesheet submission compliance to ensure adherence to these requirements. Set clear submission deadlines, such as 24 hours after the end of the workday, and establish reminders to prompt employees to submit their timesheets on time. Furthermore, you can determine whether to permit time entries for days beyond the submission deadline and implement penalties for late submissions.
Employees can easily identify any penalties applied to their timesheet entries through a red bar displayed at the top of the corresponding day column. By hovering over this red bar, employees can view specific details regarding the penalty. Additionally, managers have the ability to revoke these penalties if deemed necessary by accessing the penalization settings.
During the payroll processing phase, any imposed penalties are highlighted for the payroll administrator's attention. The payroll administrator then has the option to either process the payroll with these penalties included or make any required adjustments. This integration effectively streamlines the management of penalties, significantly reducing the manual effort involved in auditing timesheets for payroll processing.
Organizations have the flexibility to apply these policies to specific groups of employees or implement them organization-wide.
This feature is available exclusively to customers who have subscribed to the PSA Advanced plan or higher.
