How to Set an Email Trigger for a New Hire's Joining Day
The email trigger for a new employee welcome event is highly useful for streamlining the onboarding process. This trigger can deliver essential details such as event time, location, agenda, and participant information, helping the new employee feel informed and included from day one. Additionally, it creates a warm, professional first impression while allowing HR teams to focus on other critical onboarding tasks, enhancing the overall onboarding experience.
Keka offers the flexibility to enable or disable email triggers for new employee welcome event. It ensures that new hires receive timely, automated communication about the welcome event, reducing the risk of manual oversight. Here's how to access and customize this feature:
Click on the Global settings (1) icon present in the header section of the portal and from there, navigate to Communications (2), and you will be landed on Event Triggers (3).
On this page click on Employee tab.
Now you will land on this page, where you can search in the search box(1), and if not, you can click on Add New Event(2) and add the particular trigger to the list of the triggers. Then Click on the + icon(3) to configure the actions.
Here, you will see the Welcome event which will be triggered on the day of joining of the new employee. Click on Add Action(1), then you will see a dropdown from which you can choose and select the action that you prefer to be performed. For example, Click on Send Email(2) , to automatically trigger a welcome mail to the new employee.
Next, you simply type in the details like Name of Email action, Subject and add to whom all the email to be triggered. Click on Select template (1), then you can select from the Keka Default template or create one of your own and save it for future use. Then click on Create (2), that's it, the email trigger is created.
You have the ability to effortlessly control the functionality of the trigger by switching its status on or off, providing you with the flexibility to activate or deactivate it as needed.
