How to Schedule a 1:1 Meeting as an Employee?

Scheduling a 1:1 meeting is an essential part of workplace communication and professional development. This article outlines the steps to effectively schedule a 1:1 meeting using your organization's 1:1 Meetings module.

 


Step 1: Access the 1:1 Meetings Module

  1. Navigate to Me (1) and click on the Performance (2) tab in your organization's HRMS system.
  2. Select the 1:1 Meetings (3) option from the dropdown menu.
  3. Click on My Meetings (4) to view or manage your existing meetings.


Step 2: Schedule a Meeting

  1. Click the Schedule 1:1 Meeting (5) button located at the top right of the screen.
  2. A form titled Schedule Meeting will appear, prompting you to fill in the meeting details.

Step 3: Add Meeting Details

  1. Participants: Add required participants by typing their names or email addresses. Optional participants can also be included.
  2. Title: Enter a meaningful title for the meeting, such as "Career Development Discussion."
  3. Location: Choose a meeting mode—In-Person, Zoom, Microsoft Teams, or Google Meet. Integration options are available for video conferencing tools.
  4. Date and Time: Specify the date, start time, and end time. Use the "Check available timeslots" option to avoid scheduling conflicts.
  5. Recurrence: Choose whether the meeting will repeat (e.g., weekly or monthly) or be a one-time event.


Step 4: Define the Agenda

  1. You can create a new agenda by clicking + Create New Agenda.

2. You can also use a predefined template by selecting Browse All Templates.

3. Select a template that aligns with the meeting’s purpose, such as "Career Improvement Discussion."
4. Review the template content, which may include agenda items like:
    • Reviewing current roles and responsibilities.
    • Discussing career goals and growth paths.
    • Identifying skills for future roles.
    • Overcoming roadblocks.
    • Developing an actionable career plan.
  1. Click Use Template to add it to your meeting details. You can further customize it if needed.

Step 5: Record Notes and Action Items

During the meeting, use the Meeting Details section to document key points, decisions, and action items. This ensures all participants have a clear understanding of the next steps.

  • Prepare in Advance: Use the agenda templates to structure the discussion and save time.
  • Be Clear: Clearly communicate the purpose of the meeting to participants.
