How to Change Rating Scales?

Changing rating scales in your performance review system ensures that evaluations align with organizational objectives and provide meaningful insights.

Follow these steps to modify rating scales effectively:

1. Access the Review Cycles

  1. Navigate to the Performance section from the left-hand menu.

  2. Select Review Cycles to view existing cycles.

  3. Identify the review cycle you wish to modify and click on the settings icon (three dots) to edit the review form. Alternatively, if you are setting up a new review cycle and need to manage the rating scale, click on "Create Review Cycle."

2. Navigate to the Review Form Settings

  1. In the advanced setup menu for the selected review cycle, click on Review Form.

  2. Select Rating Scale under the Review Form section.

  3. You’ll see the current rating scale applied to the review form. Next click on Manage Scales if you want to change and modify rating scales.

3. Manage Rating Scales

  1. Click on Manage Scales in the top-right corner of the Rating Scale page.

  2. A list of all available rating scales will appear. You can:

    • Edit an existing scale by clicking on the pencil icon next to it.

3. You have the flexibility to change the name and description of each rating scale to better suit your evaluation needs.

4. Once you edit all the changes, click on Save.

5. Also, you can select a different scale by checking its box and click on Save.

4. Adding a New Rating Scale

  1. In the Manage Scale Window, click on +Add new scale to add a new scale.

2. The first step is to select the rating type:

    • Star-based rating: Selected by default in this case. This allows ratings to be represented with stars.
    • Custom rating: Another option, if selected, allows you to define a completely custom rating style.

3. Enable/Disable Decimal Rating Scale.

  • You need to enable the toggle option for the decimal rating scale. When enabled, it restricts the use of decimal points in rating scores, making the ratings simpler and whole-number based.
  • When disabled, it disables the decimal rating system.
  • Next assign the name to your rating scale.

4. Define the Rating Scores, Labels, and optional Descriptions. After defining the rating scale, you click Save to create and store the new scale. If any errors exist (e.g., duplicate name), the system will prompt you to resolve them before proceeding.

6. Apply the Updated Scale

  1. After saving changes, return to the Review Form settings.

  2. Select the desired rating scale from the list.

  3. Click Save as Draft or Complete Setup to finalize the changes.

By following these steps, you can easily customize and apply rating scales to meet your review cycle requirements. Regularly updating rating scales ensures they remain relevant and reflective of your evaluation criteria.
