Step-by-Step Guide to Managing Employee Exits in Keka

When an employee submits a resignation, their resignation request will appear in the Inbox or the Exit Process Tab for Managers, HR, or Global Admins. The Exit Process Tab is divided into three phases:

  1. Under Review

  2. Exits in Progress

  3. Exited Employees

Let’s explore each phase in detail:


1. Under Review

  • When an employee submits a resignation, the exit request will first appear in the Under Review phase.

Actions available:


    • Three-dot menu (Actions column): Use this to send reminders, view, or update the resignation details.

    • View Details Button: If the resignation request requires multiple levels of approval, click this button to view the resignation details. If the request is pending with someone, you can review it on their behalf using the Review on Behalf button.

    • Review Button: If the resignation is from your direct report, you will see a Review button. Click it to view or edit the resignation details. Once the review is completed, it will be changed to Complete Review click the button to move the resignation request to the next phase: Exits in Progress.


2. Exits in Progress

Once the Manager, TL, HR, or Global Admin completes the review, the resignation request moves to the Exits in Progress phase.

Actions available:


Exit Actions: Represented by icons with statuses indicated by colours:

      • Grey: Action not started.

      • Yellow: Action in progress.

      • Green: Action completed.

    • Manage Button: To view pending actions in detail, click this button. A side tab will open with the following sections:

      • Summary: Displays details of the actions.

      • Asset: Information about the employee’s assets.

      • Finances: View or update financial details.

      • Survey: Enable or disable the exit survey.

      • Team: Available for Managers or TLs. This section helps manage the transition of team and role dependencies.

      • Tasks: Add or import new tasks related to the exit process.

      • Leave Settings: Manage leave adjustments. If the employee takes leave during the notice period, you can extend the notice period here.


3. Exited Employees

  • This phase lists employees whose last working day has been completed. The names appear here even if some exit actions (e.g., Full & Final settlement) are incomplete.

Actions available:

    • Edit Exit Date: Click the pencil icon under the Exit Status column to change the exit date. Provide the new date and reason, then save the changes.

    • Cancel or Rejoin Candidate: Use the three-dot menu under the Actions column to cancel the exit or rejoin the candidate.

  • Additional Features:

    • Apply filters to refine the list of exited employees.

    • Download information for reporting purposes.


By using the Exit Process Tab effectively, you can streamline and manage the resignation and termination process efficiently in Keka.
