Enabling daily timesheet submissions and submitting daily timesheets

Purpose:

This guide introduces the daily timesheet submission feature in keka, allowing users to submit timesheets for individual days within a week. With daily submission, users can now add/update entries for each day separately.

 

Benefits:

Daily timesheet submission is beneficial for monthly project billing where month-end or month-start may fall within a week. It also provides better visibility into daily work progress, ensuring accurate reporting and tracking.

 

To activate daily timesheet submissions in the Timesheet policy:
Start by clicking on Project (1) in the left navigation pane and then selecting the Policies & Settings (2) tab. Next, locate the Timesheet Policy tab on this page.

 

Navigate to the Timesheet Policies sub-tab to view the different timesheet policies that are currently set up. From there, select the specific policy you wish to modify from the list on the left. Make sure you are on the Settings tab for the policy, then click on the Edit icon to make changes to the policy settings.

 

 

In the policy's Edit Settings page, you will find two sections - Hours settings, which control restrictions on the number of hours, and Submission Settings, which determine how often submissions can be made. To enable daily submission of timesheets, simply select the checkbox for Allow Daily Submission of Timesheets in the Submission Settings section.

 

 

Press the Update button to keep the changes saved.

 

 

To submit daily timesheets, employees assigned to the Timesheet Policy must activate the daily timesheet submission settings.

To do this, go to the "Me" section in the left navigation pane, select Timesheet, and make sure you are in the All Timesheets section. Use the Submit Daily Timesheet toggle button to enable daily submission of timesheets.

 

 

To add a task: 

Select the project and task, and input timesheet entries for any day. Once the entries are added, employees will have the option to submit timesheets for the days where they have recorded hours.

To submit for a single day, choose the task, select the day, enter the Start Time and End Time, and then click on "Submit for 1 Day."

 

 

If an employee needs to make changes to their submitted timesheets, they have the option to unsubmit them.

To do this, they should go to the "Me" section on the left pane and select the Timesheet tab. Make sure you are in the All Timesheets section to see the details of the timesheet for the week. Click on "Unsubmit Timesheet" to revert the timesheet submission.

 

 

Even after submitting daily timesheets, employees are still required to submit their weekly timesheet to ensure that the entire timesheet period is considered complete. Failure to submit the weekly timesheet will result in employees receiving reminders to submit any pending timesheets.

 

Additionally, employees have the option to request leave directly from this page.

By clicking on "Apply for Leave," you will be redirected to the Leave section under the Me tab.

Ability to attach excel files while submitting timesheets

Users now have the ability to attach files in excel format as well while submitting the timesheets.
