Feature: Confidential Access for Document Folders and Letter Templates
We’ve introduced enhanced confidentiality controls in Keka to help you secure sensitive employee information more effectively.
What’s New

Confidential Letter Templates: You can now mark any letter template as confidential to restrict access. Only users with the Manage confidential folders, letter templates & letters permission can view or generate letters from these templates.

Confidential Employee Document Folders: Admins can now mark specific employee document folders as confidential. This limits visibility to only those with both Manage confidential folders and Manage document definitions permissions.

Confidentiality applies to both web and mobile apps.

Cloned templates inherit the confidential status automatically.

Reporting Managers can be granted access to team documents via folder permissions—even without confidential access.

Employees always see their own documents, ensuring transparency.
Where it Applies

Letter Templates Grid and Employee Profile > Documents: Confidential items are hidden unless proper permissions are granted.

Reports, Bulk Uploads, and Verification Tabs: Confidential folders are excluded from general access and filters.
Troubleshooting Improvements
We’ve added clear permission-based error handling:

If a user can’t view or open a document or template, it’s likely due to missing confidential access.

Folder-level overrides now allow finer-grained access for managers and admins.
