Overview
Keka now enables you to seamlessly connect performance review outcomes with salary revisions and promotions, eliminating manual work and bringing more structure, speed, and transparency to your appraisal process.

Steps to Automate Salary Revisions and Promotions After Performance Reviews
Once performance reviews are completed and published, you can proceed with salary and promotion recommendations, inviting managers to provide their input on these decisions.
Publish Completed Reviews
Access the Reviews section and select the Summary & Publish option.
Select the employees whose reviews are ready.

Click Publish Review to push them into the salary revision flow.

Enter a comment (e.g., "ready to publish") and click "Publish" to confirm.
This makes the employees eligible for salary and promotion decisions.
Enable Salary Revision and Promotion
Once you have published the review go to the Salary & Promotion tab.
Toggle Enable salary revision and promotion for the review cycle.

Click Configure Settings.
Configure Automatic Salary Increments
Once you enable the configuration settings, you will be directed to the salary revision settings window, where automatic salary revision recommendations will be generated based on employee ratings.
You can define rating ranges and map them to increment percentages.
Example:

These rules automatically calculate increments once ratings are published.
Manager Recommendations & Approval Workflow
You can enable the option "Allow managers to recommend salary revisions" for a specified period (for instance, 5 days) to provide managers with the opportunity to submit their recommendations.

You can also establish an approval chain for further validation. Enter the employee's details and click on the "+Add New Level" option to include additional approvers. Once you have made your selections, click "Save" to confirm the changes.
Manage Pending Salary Revisions
- Now navigate to the Salary & Promotion section and select Pending Revisions & Promotions. Here, you will find the employees whose reviews you have published.

Choose the employee(s) you wish to act upon and either Invite Managers for further input.

In the Invite Manager window, choose the individual you wish to invite for the salary revision and click on the Invite button.
Manager Recommending Salary Revisions

Once you invite the manager, they will need to check their inbox to perform the necessary actions. The manager should click on the salary increment option, followed by the "Recommend" button.

Next, they can click on the Recommend option to edit the salary recommendation. Click on Yes or No if you want your employee to get one promotion. In this section, the manager should enter the increment percentage, provide a reason for the change. After making these entries, they should click "Next". You can click on +Add Bonus to add the bonus to the employee.

You can indicate promotion eligibility if yes or no and click on Update.
You can click the "Import" button if you want to bulk upload salary increment data.

Once done reviewing all recommendations, click the "Submit" button on the top right.

In the confirmation popup, click "Confirm" to finalise submission (no changes allowed after this).
Salary and Promotions Section within the Review Cycle

After the manager has given the recommendation, admin also have the option to select Edit Details under Salary & Promotion tab to make any necessary adjustments to the salary revision information for a particular employee.
- In this section, the performance admin gets the same window as the manager for recommending salary. They can enter the increment percentage, provide a reason, and indicate promotion eligibility as yes or no.
- After making these entries, they should click "Save" and then approve the recommendation by selecting the green check icon.
Finalise Revisions
Once everything is finalised, you can review all entries listed in the main overview.

Select the relevant employee(s), click the Finalise button.

And choose Finalise revision from the dropdown.

Once you click on Finalise, you will get one confirmation pop-up. Click on Confirm.
- This action moves the selected records to the Finalised tab, making them ready for document generation.

You can also use the Import feature to bulk import salary revisions and promotions.

By clicking on the Import option, you'll be able to download an Excel file. After entering all the necessary details in the spreadsheet, you can upload the data back into the system. Be sure to follow the mapping guidelines in the column tab and carefully review all entries before finalising the Excel template.

After the employees are listed in the Finalised tab, you can select them and proceed by clicking on the options to Generate Revision Letters and Generate Promotion Letters, as detailed in the subsequent sections.
The Finalise tab will only be accessible once the recommendation has successfully passed through all approval stages, provided that you have enabled the approval chain during the salary revision configuration for that employee.
Introduction to Salary and Promotions tab in Performance
A new tab called "Salary and Promotions" has been added to the performance module, accessible to Global Admins, Payroll Admins, Performance Admins, and HR personnel.

This global tab has been introduced in the performance module and includes two sections: "Pending Revisions and Promotions" and "All Revisions and Promotions".
- Under the "Pending Revisions and Promotions" section, there are two tabs. Organisation and My Team.

The Organisation tab is accessible to admin roles, including performance admin, HR managers, and payroll admin. Additionally, the "My Team" tab is available to all managers, allowing them to view relevant information for their teams.

Under the "Pending Revisions and Promotions" section in Keka, admins can manage the entire revision workflow—starting with recommending, approving, and finally finalising salary hikes and promotions for all employees in one go. Once finalised, the system automatically updates the salary or job profile in the employee’s Profile or Job tab.

Finalised records are then moved to the Finalised tab.
- This process supports both automated and manual approaches: some organizations tie hikes strictly to performance ratings using preset configurations, while others follow a more subjective method where recommendations vary based on managerial input, role, or budget.
- Typically, Reporting Managers provide the initial recommendations, and admins can invite employees individually or in bulk using the “Invite Managers” option, prompting them via inbox to submit their inputs.
In exceptional cases, salary revisions and promotions can proceed even if the reviews are not completed, as long as the review cycle has been launched.
Invite Manager for Recommendation
- Navigate to the Salary & Promotion tab and select Pending Revisions & Promotions. Here, you will find the employees whose reviews you have published.

Choose the employee(s) you wish to act upon and either Invite Managers for further input.

You can also click on the download icon at any time to download the information, and you can also import the revisions through excel file by selecting the Import option.
- Once the manager has submitted their recommendation, you can select the employees to enable the finalise option.

You can only use the Finalise tab after the recommendation has successfully passed through all approval stages, provided that you have enabled the approval chain during the salary revision configuration for that employee. Potential approvers may include the Department Head, HR, or the Performance Admin.
Finalising Revisions
- Select the relevant employee(s), click the Finalise button, and choose Finalise revision from the dropdown.

This action moves the selected records to the Finalised tab, making them ready for document generation.
Generate Salary Revision Letters

Once employees appear under the Finalised tab, select them and click on Generate Revision Letters. This will initiate the letter generation workflow.

By default, salary figures are masked for privacy reasons. If someone wishes to view the actual numbers, they can click on the "view" icon to unmask the information. This measure is in place to ensure that sensitive data remains confidential and is not visible to unauthorised individuals.
Setup the Letter Template
- Select a letter template—such as Performance Reviews—from the dropdown. You can then use the Simple Web Editor to tailor the document if needed.
- Employee details such as name, job title, and annual CTC are auto-filled via placeholder fields. Click Next once you’re ready to proceed.
When you click on "Generate Letters for both salary revision and promotion," a dropdown menu will display options from the Organisation tab. You can choose your desired template from this list; however, please note that modifications to the template are not permitted at this stage. If you need to make any adjustments, you will have to navigate back to the Organisation letters section to edit the template as needed.
Under the Finalise tab, when sending revision letters in bulk, select the employees, enter the values, and click Next.
Preview & Share Letters
- Preview each letter before sending. Once reviewed, click Share revision letter.
This will send the letters to all the employees. You can: Save the letter directly to the employee’s folder.
Email it to the employee’s work or personal email.
Generate Promotion Letters (Optional)

If a promotion is part of the revision, you can generate a promotion letter by selecting the respective employees and clicking on Generate Promotion Letters.

Follow the same three stages: Setup → Prepare → Finalise to complete this step.
Understanding of All Revisions and Promotions Tab
The purpose of this tab is to enable visibility into the promotion and salary changes of your reportees. It distinguishes between two user roles: managers and admins.

Admins will find it under the "Organisation" tab.
- Managers can view this information in the "My Team" section. As a reporting manager, you will find a comprehensive list of your direct reportees. Updates to performance ratings will be visible in the ratings section, while the current salaries will be displayed in the Current Salary section, alongside any changes in the Salary Change section.

By default, the system shows the current salary figures and job titles for each employee.

If you wish to review an employee's history of salary changes and promotions, simply click on "View History."
