You might find great candidates online when no role is open, or you may reject someone today who could be a strong fit later. With Talent Pool, you can group candidates by skills, experience, or any criteria relevant to your organization and access them easily when needed.

How to Manage Your Talent Pool

Go to Hire.

Click Candidates.

Select Talent Pool

To create a new pool, click Add in the left panel.

Options & Variants

Sharing pools: You can share Talent Pools with other team members for easier collaboration.

Tabs available:

Shared with you: Pools others shared with you.

My pools: Pools you created.
-
All Pool: Pools created by the entire recruitment team.

Admin visibility: Only admins can see all pools across the organization.

Field Reference / Actions
Once you create a pool, you can manage candidates in multiple ways:

| Add candidates | Individually, in bulk, or by importing from job postings or Excel. |
| Filter and sort | Based on experience or when candidates were added. |
| Move candidates | Transfer to jobs or other pools. |
| Send emails | Reach out directly from Talent Pool. |
| Add notes | Maintain candidate-specific information. |
| Archive | Store inactive candidates without deleting them. |

Important: Candidate data privacy is critical.
Two specific privileges are available under:
Settings > User Roles and Permissions > Roles > Talent Pool Privileges.
These let you control who can manage Talent Pools and candidate data.

A strong candidate applied but wasn’t selected—add them to Talent Pool for future openings.

You found someone online with relevant skills but don’t have an opening yet—save them in a Talent Pool.
