Importing salary and salary structure revisions in bulk

Salary revisions and salary structure changes are common in organizations based on the growth of the employee and when employees are being promoted or moved from one role to another. It is also possible that you have revised the salaries of multiple employees after the annual appraisal. In such cases, while you can change the salaries of all employees individually, bulk import of revised salaries or structures can make your life quite easy. 


Here's how to do this on Keka. 

Navigate to Payroll from the left navigation pane. Select the Payroll Admin and then select the Operations tab.

 

 

Go to the Payroll Imports section on this page and select Import Salaries with Effective Dates. 

 

 

 

On the Import Salaries with Effective Date window, select the Pay Group for which you want to revise salaries. Click on Download the Excel Template to download the editable excel template to your system. 

 

In the excel file, add the necessary information. Structure Type can be selected from range based or custom structures that have been defined on your portal. Add the revised salary amount as well as the date from which the new salary will be effective for the employee. You can also enter a percentage to indicate the change in salary from the current salary. The system will calculate the new salary based on the percentage you have entered. 

Once you have entered the necessary details, save the file to your system.

 

 

 


On the Import Salary with Effective Date window, click on Upload Excel File and select the saved file that you have saved on your system. 



 

On the Match Columns section of the file, ensure that the columns on excel are mapped correctly to the fields on Keka. Once the mapping is correct, click Continue to move to the Preview Data section. 

 

Here, you can review the data you are uploading as well as make changes to the values you have entered if you have to. You can also see if there are any errors on the excel file like missing data or wrong data type. Go back to the excel file and make changes if there are any errors. Once you have corrected all the errors, click Continue to finalize the upload. Click Confirm in the confirmation window to finish the process. 

 

 

This will update the salaries for the selected employees as per the details you have entered in the Excel file. 

 

You can use this import to revise the salaries of employees multiple times in one go. Say you have to revise the salary of an employee this month and then revise the salary again in 3 months' time. You can add 2 rows with the employee details and then provide the 2 revised salaries with different effective dates. This will revise the salary of the employee automatically on both the effective dates you have entered here.
