Audit Logs for Employees' Finance

In a world where financial information is paramount, whether it's about payment details, statutory details, tax declarations, or loans, one thing remains constant: the need for trust and transparency. Imagine having the power to track every modification to this sensitive data, from who made the changes to the precise nature of the alterations. For administrators and employees, the unveiling of 'Audit Logs for My Finances' is a game-changer. 


With this feature, you can: 

  1. View audit logs in each employee's profile for any changes made to their financial data, salary, declarations, component claims, loans, etc.  
  2. Download an audit report for their legal entity with all changes made to employee's finances.


Let's take a look into the functioning of this feature and how it promises to bring about more transparency and ease in your financial operations.

 

Viewing audit logs in employee profile


To access Audit Logs for an employee's finances, use the global Search Bar(1) to find the employee, click Finances(2) in their profile. 


Now, let's say you want to view logs for what changes were made to the employee's previous income, who made those changes and when. To view this information, choose
Manage Tax(3) and click on the Previous Income(4) tab. To view detailed audit logs, click the Past Actions Icon(4).

Note: Employee access is restricted to viewing their own Audit logs for declarations and previous income from the Finance tab in their profile. On the other hand, Global and Payroll Admins have the capability to access and review the Audit logs of all employees across all tabs like Bank Information, Statutory information, salary, declarations, previous income, loans, component claims, etc in the Finances section.

 

 

A pop-up screen will appear, allowing you to access a detailed report of the audit logs. This report will provide information about the changes that were made and also identify who made those changes and when. 

 

 

The audit logs will show the actions taken by employees, privileged users and Keka support team (if support access is provided and support actions are performed).

 

Note: The Audit Logs feature is exclusively available for payment/statutory/identity information, salary, declarations, previous income, component claims and loans. Audit logs are currently not available for payroll processing or other admin related actions.

You can employ a similar procedure to access the Audit Logs report for the remaining tabs.

 

Excel Reports for Audit Logs


Admins can also download the detailed report of the audit logs of changes in employee finances. This will help in statutory or internal audits conducted by the auditors. To download the report, follow the below steps. 

Click on Payroll(1) from the left navigation menu. Navigate to Reports(2).

 

Scroll down the screen to find Employee Finance Audit Report(3) under the Audit Reports tab.

 

Once you click on the Employee Finance Audit Report  you will be redirected to Audit Report download screen where, you need to set the criteria and click on Run to download the report.

Audit report can be downloaded for a maximum range of 366 days. 

 

 

Note:

Users need to be given the following privileges to access this feature: 

  • View Audit privilege under Employee Finance  
  • View Audit Reports under Payroll
  • Download Audit Reports under Payroll

These privileges will be enabled by default for payroll and global admins.
