Where to check and configure the settings for leave carry forwards?


Leave carry forwards allow employees to carry forward unused leave to the next year. This gives employees the flexibility to take time off when needed without losing their entitled leave. However, employers must carefully manage leave carry forwards to avoid excessive leave balances that can create staffing and financial challenges for the organization. In this article, we will show how to check and configure the settings for leave carry forwards on Keka. 


Navigate to Time Attend (1), then go to Leave (2), and under Leave Plans (3) you will see all the leave plans configured for your organization. Select the relevant leave plan and find the Leave Type you want to configure the carry forward settings for. Then, click on the three dots next to View and click Update.




A new window will appear. In this window, navigate to the Year End Processing (1) section, then go to Carry Forward (2). Under this section, click on the option "What happens to the remaining leave balance (if any) at the end of the year?" to view the current carry forward settings for the selected leave type.

You can change these settings by clicking on the drop-down and selecting the desired option.

Based on the option you select, you will get additional settings that can be used to configure rules for the carry forwarding of leaves.


If you select 'Reset to zero', the leave balance will reset to the amount specified in the Accrual section.

If you select 'Encash all', the employees will be paid after the year-end processing based on the leave encashment policy selected at that time.

If you select 'Carry forward all', you can transfer any remaining leave balance to another type of leave balance. This option is available for all types of carry forwards and gives you the flexibility to manage your leave balance according to your needs.

If you select  'Pay first, carry forward remaining' or 'Carry forward first, then pay remaining', you can then choose if only a fixed number of days of the remaining balance will be carried forward/paid. The exact number of days will have to be specified below the option. 

In case of Pay first and then carry forward remaining , there is also a setting where, if the leave balance exceeds ___ number of days, it is required to pay for ___ days and then carry forward the remaining ___ days. 


Similarly in Carry forward first and then pay remaining setting, there is also a setting where, if the leave balance exceeds ___ number of days, it is required to carry forward for ___ days and then pay for the remaining ___ days. 


After making the required configurations, click Save Changes and you can exit the window.
